Get yourself to Kathmandu and back. We'll be waiting at arrivals.

A policy that covers high-altitude trekking up to 5,600m. Non-negotiable.

Visa & Jabs

Sort your Nepal tourist visa (required for entry) and check vaccinations with your GP.

Spending Money

For tips for your guides and porters, a few Kathmandu meals, extra snacks and drinks, and anything you fancy.

Not included in your trip price: international flights to and from Kathmandu, travel insurance, Nepal visa, vaccinations, tips for guides and porters, 10% of meals (mostly in Kathmandu), personal spending, and extra snacks and drinks. Your Sagarmatha National Park permit and TIMS card are arranged for you by the HA team.

20% Deposit + Monthly Instalments

Secure your place with a 20% deposit of your chosen registration fee (from £50), then pay £50 plus equal monthly instalments until three months before your trip, or clear the remainder by your departure's due date: 6th February 2027 for the June 2027 trip, 27th February 2027 for the trip starting 27th August 2027, and 28th February 2027 for the trip starting 28th August 2027. And we're treating you right, this is valid for both paid and fundraising plans.

Can I Defer?

Absolutely! Deferral fees depend on how close you are to your departure date:

  • More than 6 months before: Free deferral to another date
  • 6–2 months before: £80
  • 2 months – 6 weeks before: £120 (if your place hasn't already been fully paid for by this point)
  • Under 6 weeks: Deferral not possible

Medical & Family Emergencies Those deferring due to a medical or family emergency may be eligible for a free or discounted deferral, subject to the circumstances and how close it is to the trip start date.

What's the Cancellation Policy?

  • Within 14 days of booking: Free cancellation & full refund.

Where Will I Stay?

You'll stay in a comfortable central hotel in Kathmandu at the start and end of the trip (breakfast included).

On trek, you'll sleep in local teahouses (twin-share rooms) along the classic Everest Base Camp route. Simple, warm and run by Sherpa families. Expect shared bathrooms, basic heating in the main lounge and a hot meal each night.

Single-Room Upgrades Single-room upgrades can be requested subject to availability.

Our Head of Ops, Sofia@hardestadventures.com, advises and is more than happy to assist you when arranging your:

  • Travel Insurance
  • Nepal Tourist Visa (required for entry)
  • International Flights to/from Kathmandu

Your Sagarmatha National Park permit and TIMS card are required for the trek, and both are arranged for you by the HA team.

Vaccinations: Nepal Recommended: Hepatitis A, Tetanus/Diphtheria, Typhoid. Ensure routine MMR, Polio and Covid-19 are up to date.
Also consider: Hepatitis B, Rabies, Japanese Encephalitis and Cholera, depending on length of stay and activities.
Malaria & Altitude Malaria risk is very low on the EBC trek itself (high altitude), but present in the lowland Terai. Altitude medication (e.g. Diamox) should be discussed with your GP or travel clinic.

Always check the latest NHS Fit For Travel / TravelHealthPro guidance, and book a travel clinic appointment 6–8 weeks before departure.

If you have chosen the charity fundraising option, your fundraising deadline is 8 weeks before your challenge start date. With the support of your charity rep, Hardest Adventures, challenge leaders, and University, it's almost impossible not to reach your target.

In the unlikely event the target isn't met by the deadline, here are your options:

  1. If you're above 80% of your target and have plans in place, your charity can grant you a 2-week deadline extension.
  2. You can put your own money in and fundraise it back afterwards, as long as you don't keep more than you put in.
  3. You can defer to next year's trip for a small fee, giving you an extra year to hit your target.
